What to decide before the site inspection
Most of what makes a Dubai incentive work, or makes it expensive, is settled before anyone flies over: the week, the hotel, the sequence of the days. Here is what we would put in front of you first.
Season decides the program before you do
October to April is when outdoor programming works: desert, beach, open-air dinners. June to September is a different product, built indoors and around early mornings and evenings, and priced like one. The shoulder weeks at either end are where the best hotel value usually sits.
Then check your dates against the event weeks, when hotels stop negotiating and group blocks disappear. Dates published by the organizers, checked in September 2026:
| Event | Dates | Where |
|---|---|---|
| Big 5 Global | 23 to 26 November 2026 | Dubai World Trade Centre |
| Dubai International Boat Show | 25 to 29 November 2026 | Dubai Harbour |
| GITEX Global | 7 to 11 December 2026 | Dubai Exhibition Centre, Expo City |
| Gulfood | 15 to 19 March 2027 | DWTC and Dubai Exhibition Centre |
| Arabian Travel Market | 3 to 6 May 2027 | DWTC |
Christmas through mid-January is peak on its own, with minimum stays at many hotels. Ramadan 2027 is forecast to begin around 8 February, with Eid Al Fitr on 9 or 10 March; the exact dates are confirmed by moon sighting a few days before. It changes opening hours and the tone of evening events, and it can also be a quieter, better-priced week for the right group.
2 · What is closedThree landmarks your qualifiers may expect, and when they return
- Burj Al Arab: closed since April 2026 for an interior renovation, reopening expected in October 2027. Lunch or afternoon tea there comes off the program until then
- Armani Hotel, Burj Khalifa: closed, with a partial return expected in January 2027
- Museum of the Future: closed from September 2026 for its first full exhibition change, reopening expected in the first quarter of 2027
As reported by the UAE press in September 2026. Reopening dates move; we confirm them against your dates before they go on a program.
3 · The sequenceThe order of the days matters more than the list
- Arrival day stays light. After twelve or more hours in the air, a gala on night one costs money and gets half the room
- The big outdoor moment goes early in the stay, with a weather day behind it. Wind and sand can move a desert night or a yacht
- Abu Dhabi is a full day, roughly 90 minutes each way by coach. The Sheikh Zayed Grand Mosque sets its own visiting hours and dress code, and on Friday it closes in the middle of the day, so the sequence is built around it
- The weekend in the UAE is Saturday and Sunday. Friday is a working day with a midday break for prayers, which affects government sites and some venues
What actually moves the number
- The week, more than the hotel category. Moving out of an event week often saves more than stepping down a star
- How the group moves. Coaches are booked by the hour and by the day, so a program with fewer, longer blocks costs less than one with many short transfers
- Exclusive use. A private venue, a full yacht or a closed desert camp carries a minimum spend; the break-even group size is on the quote
- The headcount floor. Group rates are built on a stated minimum number of paying participants; falling below it triggers a requote
We quote all-inclusive per participant or itemized by component, whichever your procurement needs, in US dollars.
5 · Who carries itOne contract, across all seven emirates
We contract hotels, venues, transport and licensed guides in our own name, as principal, across all seven emirates, so an Abu Dhabi day or a night in Ras Al Khaimah is ours to deliver, not passed to another operator. When the program changes on the ground, the person who approves it is a partner on +971 50 632 8451.
Send dates, headcount and the objective. We send back the week, the hotel and the shape of the days.
Up to three UAE business days for an incentive program, because hotel and venue have to be confirmed before we commit to a number.
